Email folder

§1  Managing the local email

Each dBase item, has a folder, accessible in the tab [ Db. emails], which stores the emails that we suppose related to it. Those emails may include both; the received, and a local copy of the sent; the ones in the outgoing tray; the drafts, and those that may be imported from external files.

Remember that in addition to the usual attributes in the email, such as sender, subject, addressee, Etc, each of them can have an attached note, and can be used as source and target of links to/from any other element of the Base. Thus, email can be integrated and linked with other user information.

Each line in the folder, represents an email and the meaning of the columns that require clarification, is the following:

  • C.    email Class, indicated by an icon with the following meanings:

        email without format (plain text)

        email with HTML format.

        email with multipart format (plain text + HTML)

        email with attached objects (attachments)

        none of the before mentioned.

    email without format (plain text)

    email with HTML format.

    email with multipart format (plain text + HTML)

    email with attached objects (attachments)

    none of the before mentioned.

  • T.    emal Type, indicated by a character (there are the following):

    R    Received email.

    P    email in the output tray (pending to send)

    D    Draft.

    I    email imported from a file (the Note field includes the name of the original file)

R    Received email.

  • A.    Attachments     shows the number of attachments contained in the email.
  • Z-time    indicates the date and time of the mailing referred to the meridian 0 (Greenwich) [1].
§2 Options

By giving focus on any line in the folder, the right window shows the corresponding email content (this window can be resized by dragging their borders with the mouse). In addition, the context menu obtained by clicking the right mouse button on a line, provides a wide range of actions on the email in the folder. The meaning of most of these options is evident and requires no explanation, so we just stop with a couple of comments.

§2.1 Changing manually the container

There are options to move the email from the current containing folder, to any other. That can be done individually or in bulk (all the emails in a folder). The individual movement can select up to 25 lines at a time to move to a new destination. These movements (individually or collectively) are what we call "manual" and are different from those we might call "automatic", and are discussed in the next section (§ 2.2).

Whether the movement of an element or a group (all emails in a folder), the operation is similar, after selected the element/s to move, you must navigate to the target item, and open the emails folder (tab Db. emails), where you select the Move here the selected... (email/group) option from the context menu.

§2.2 Changing automatically the container

You can individually select an email to be moved automatically to the folder of the sender or addressee (optionally, this may be accompanied by a jump to the destination). In both cases the operation is similar, and Zator search in the dBase, an item whose title contains an address equal as the one in the sender or addressee (as appropriate) of the email you want to move. If there is a match, the email is automatically moved to the folder of the item in question. Then, if you selected the option to jump to the target folder, it becomes actual, and its new content is seen. In the absence of the described concordance, Zator then searches the lines of the eDir field of each item (extended data) and performs the corresponding movement if a match is found. Otherwise, the email remains unmoved.

Besides being able to apply to a specific email, the above can be applied to all in a folder, although this option, do not allow the additional possibility of jumping to the destination folder (can be several). In this case, all emails from the source folder for which there is a match according to the above rules, will be automatically moved to its proper destination.

As shown, these possibilities can be used allow a single item to be considered initially as the incoming email folder and hold in it all the email received, and later, move each mail to the appropriate folder. A similar process could apply to hold all sent messages in what might be called the output tray.
